1. Acceptance of Terms

By submitting an application to Coins for Kids, you agree to be bound by these Terms and Conditions. If you do not agree to these terms, please do not submit an application.

These terms constitute a legally binding agreement between you ("Applicant," "you," or "your") and Coins for Kids ("we," "us," or "our").

2. Program Overview

Coins for Kids is a charitable program that provides Christmas assistance to families in need within Washington County, Utah. The program matches qualifying families with donors who provide gifts for children during the holiday season.

Important: Assistance is not guaranteed and depends on available resources, donor participation, and meeting all eligibility requirements.

3. Eligibility Requirements

To be eligible for assistance, applicants must meet ALL of the following criteria:

  • Be 18 years of age or older
  • Be a current resident of Washington County, Utah
  • Have one or more children aged 17 or younger
  • Be experiencing genuine financial hardship
  • Have not received assistance from Coins for Kids three or more times in the last 10 years
  • Provide all required documentation by specified deadlines
Repeat Application Policy: Families who have received assistance from Coins for Kids three or more times in the past 10 years are not eligible to apply. This policy ensures we can serve as many families as possible while encouraging long-term self-sufficiency.

4. Application Process

4.1 Application Period

Applications are accepted only during the designated application period each year (typically late October through mid-November). Applications submitted outside this window will not be considered.

4.2 Required Documentation

You must provide the following documentation to complete your application:

  • Photo Identification: Valid driver's license or state-issued ID
  • Proof of Residency: Current utility bill, lease agreement, mortgage statement, or official mail showing Washington County address
  • Proof of Children: Birth certificates, custody documents, or school records for all children
  • Proof of Financial Need: Recent pay stubs, benefit award letters, unemployment documentation, or other evidence of financial hardship
4.3 Document Submission Deadlines

All required documents must be uploaded by the deadline specified in your application portal. Late submissions will result in disqualification unless prior arrangements have been made with program administrators.

4.4 Verification Process

Selected applicants may be required to verify their documentation in person. Failure to comply with verification requests will result in disqualification.

5. Accuracy of Information

5.1 Truthfulness Requirement

You certify that all information provided in your application is true, accurate, and complete to the best of your knowledge. Any false, misleading, or fraudulent information will result in:

  • Immediate disqualification from the current year's program
  • Permanent ban from future Coins for Kids programs
  • Possible referral to law enforcement if fraud is suspected
5.2 Updates to Information

If any information in your application changes after submission (address, phone number, family composition, etc.), you must notify us immediately by updating your application or contacting us directly.

6. Information Sharing

6.1 Sharing with Adopting Families

By submitting an application, you consent to having your family information shared with donors ("adopting families") if your application is approved. This information includes:

  • Parent/guardian first names
  • Children's full names, ages, and genders
  • Children's interests, hobbies, and gift wishes
  • Clothing and shoe sizes
  • Brief family circumstances (to help donors understand your situation)
6.2 Privacy Protection

We will not share your full address, phone number, financial details, or other sensitive personal information with adopting families. See our Privacy Policy for complete details.

7. Selection and Matching Process

Application approval and family matching are determined by:

  • Completion and accuracy of application
  • Verification of eligibility requirements
  • Documentation quality and timeliness
  • Demonstrated financial need
  • Available donor families and resources
  • Number of qualified applications received

Selection decisions are final and not subject to appeal. We receive more applications than we can serve, and difficult decisions must be made. Not being selected does not reflect negatively on your family or circumstances.

8. Gift Acceptance and Delivery

8.1 Gift Coordination

If your family is matched with a donor, we will coordinate gift delivery. You agree to:

  • Be available for gift pickup or delivery as scheduled
  • Provide accurate contact information for coordination
  • Accept gifts graciously, regardless of specific items received
  • Not request specific brands, expensive items, or make demands of donors
8.2 Gift Guidelines

While we provide donors with your children's wish lists, we cannot guarantee specific items will be provided. Donors are encouraged but not required to follow wish lists. Gifts will be age-appropriate and of reasonable value.

8.3 No Resale or Exchange

Gifts provided through Coins for Kids are intended for your children's use and enjoyment. Selling, exchanging, or returning gifts for cash or store credit is strictly prohibited and may result in permanent program exclusion.

9. Communications

9.1 Email and SMS Notifications

By submitting an application, you consent to receive communications from Coins for Kids via:

  • Email messages
  • Text messages (SMS)
  • Phone calls (if necessary)

These communications may include application status updates, document requests, matching notifications, and delivery coordination.

9.2 Response Requirements

You agree to respond to our communications in a timely manner. Failure to respond within specified timeframes may result in disqualification or forfeiture of your matched donor.

9.3 Opt-Out Limitations

While you may opt out of promotional communications, you cannot opt out of essential program communications (application status, document requests, delivery coordination) while your application is active.

10. Conduct and Expectations

You agree to:

  • Treat all Coins for Kids staff, volunteers, and donors with respect and courtesy
  • Respond professionally to all communications
  • Be patient with the application and matching process
  • Not harass, threaten, or behave inappropriately toward anyone involved in the program
  • Not attempt to contact your donor family directly unless mutually arranged through us
  • Express gratitude to donors (we facilitate thank-you notes, but direct contact is at donor's discretion)

Inappropriate behavior will result in immediate program removal.

11. Limitation of Liability

To the fullest extent permitted by law:

  • Coins for Kids makes no guarantees regarding the quality, quantity, or type of assistance provided
  • We are not responsible for gifts that are damaged, lost, or not to your liking
  • We are not liable for any damages arising from your participation in the program
  • We are not responsible for disputes between applicants and donors
  • We reserve the right to modify or cancel the program at any time

12. No Discrimination

Coins for Kids does not discriminate based on race, color, religion, national origin, sex, sexual orientation, gender identity, disability, or any other protected characteristic. All eligible families are considered equally based on need and program criteria.

13. Intellectual Property

All content, design, and functionality of the Coins for Kids website and application system are the property of Coins for Kids and are protected by copyright and other intellectual property laws. You may not reproduce, distribute, or create derivative works without permission.

14. Data Security

While we implement reasonable security measures to protect your information, no system is completely secure. You acknowledge that electronic data transmission and storage carries inherent risks. See our Privacy Policy for details.

15. Account Security

You are responsible for maintaining the confidentiality of your phone number and authentication codes used to access your application. You agree to notify us immediately of any unauthorized access to your account.

16. Modification of Terms

We reserve the right to modify these Terms and Conditions at any time. Significant changes will be posted on our website with an updated "Last Updated" date. Your continued participation after changes are posted constitutes acceptance of the modified terms.

17. Termination

We reserve the right to reject, suspend, or terminate any application at any time for any reason, including but not limited to:

  • Violation of these Terms and Conditions
  • Providing false or misleading information
  • Failure to provide required documentation
  • Inappropriate conduct or communication
  • Failure to respond to communications
  • No longer meeting eligibility requirements

18. Governing Law

These Terms and Conditions are governed by the laws of the State of Utah without regard to conflict of law principles. Any disputes arising from these terms or your participation in the program shall be resolved in the courts of Washington County, Utah.

19. Severability

If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

20. Entire Agreement

These Terms and Conditions, together with our Privacy Policy, constitute the entire agreement between you and Coins for Kids regarding your application and participation in the program.
